Room Reservation Policy

The Dayspaces culture is one built on the foundation of mutual respect. With that in mind, Members are expected to be considerate of others when reserving and using a Conference Room or Private Meeting Room in their Dayspace.

Please read the following rules and guidelines to ensure that you and your fellow Members can enjoy the benefits of these shared resources. Thank you and please contact the Dayspace Manager on duty should you ever have any questions!

Reserving a Room

Dayspaces uses Google Calendar for all Conference Room & Private Meeting Room reservations. Once you begin your Membership at a Dayspace, one of your Dayspace Managers will invite you to a shared calendar for each available Conference Room and/or Private Meeting Room in your Dayspace. If you don’t plan on using these Rooms, simply ignore any such invitations. If you do plan on reserving time in these Rooms, accept the invitation and follow the reservation rules and guidelines below:

To reserve a Room:

1) Accept the invitation to the Room’s shared calendar, where you’ll instantly see availability. Note: Your Dayspace may have weekly or monthly time limits for Room use, which will be included in your Member Welcome Kit. Check these details before making any reservations.
2) Click on your Google calendar at an available time you wish to reserve (30-minute minimum to 2-hour maximum).
3) Title the calendar event with your full name and select the correct color-coded Room calendar while creating the event. Also, be sure to leave 5-10 minutes at the end of your reservation to allow time for cleaning and sanitizing the Room after use.
4) That’s it! Use the Room, take care of it, and leave it in great shape for the next Member.

Cleanliness

Be sure to leave a Room in the same or better condition than you found it. Wipe down any and all areas that were used with the provided sanitizing spray and paper towels, take out trash to the appropriate receptacles outside the Room (shared Kitchen or outdoor bins), put chairs and tables back in order, and disconnect/turn off any monitors or displays that were used.

Cancellation

If ever you know you won’t be using a Room after you’ve reserved, please delete the event from the correct color-coded Room calendar as a courtesy to other Members.
